Terms of Service

By creating a Bean Hero account, you ("merchant", "you") agree to these terms. Bean Hero is inventory and order management software for coffee roasters. See our Privacy Policy for how we handle data — it's part of this agreement.

You're responsible for the accuracy of the inventory, pricing, and order data you enter or connect, and for keeping your login credentials secure. You can invite teammates under your plan's user limit; you're responsible for their use of your account.

When you connect a Shopify or WooCommerce store, Bean Hero acts as a data processor on your behalf for the order data that flows through that connection (customer name and email address, per order) — you remain the data controller for your own customers' data. Under this arrangement, we:

• process that data only to sync and display your orders and keep inventory accurate — never for our own marketing, analytics, or any other purpose;
• don't request or process your customers' phone numbers or shipping/billing addresses;
• don't sell or share this data with third parties;
• keep it encrypted at rest and in transit;
• automatically clear a synced order's customer name/email 24 months after that order is completed or cancelled, and will delete it sooner on written request or account closure, except where we're required to retain it by law.

If your own agreements with your customers require a signed Data Processing Agreement, contact us at the email below and we'll provide one.

Paid plans renew on the cycle shown at signup. You can cancel any time from Settings; cancellation takes effect at the end of the current billing period. Fees are non- refundable except where required by law.

You can close your account at any time. We may suspend or terminate accounts that violate these terms or misuse the service (e.g., processing data unrelated to running a coffee roastery business).

Bean Hero is provided "as is." We work to keep it reliable and accurate, but we're not liable for indirect or consequential damages arising from its use, to the extent permitted by law.

We may update these terms as the product evolves. Material changes will be posted here with an updated date; continued use of Bean Hero after a change means you accept it.
